As your organization engages in its activities and programs it is important to ensure you have the proper risk management procedures in place for on campus and off-campus activities. As a signatory for your registered campus organization(s) you are responsible for your organization. Consult with your SOLE Advisor to ensure your organization has the proper risk management protocols in place.

Campus Conexxions

Campus Conexxions provides insurance coverage for eligible registered campus organizations, recognized sports clubs, and more. It is the registered campus organization’s responsibility to ensure their event is eligible for coverage.

  • In-Person Events: Please contact your campus Student Life office for specific guidelines on holding in –person events. Application procedures for event liability insurance remain the same.
  • Virtual Events: Follow the normal application procedures for event liability. The carrier has advised including cautionary wording in your invitation/links/communications stating that you expect participants to follow safety guidelines while participating in the event.
  • Event cancellation: Please email your request to plsdsteam.service@mercer.com . Include the following in the subject line of the email: the event date, the event name and your Campus location. For Example: 3/20/2020 - Educational Lecture - UC Davis - Cancelation Request.

UCLA Fire

UCLA Fire provides support to mitigate threats/hazards to the University. They directly support registered campus organizations whose events contain certain elements such as, occupying a fire lane, tents/canopies, and/or compressed gases use, by administering temporary event permits . These permits provide UCLA fire with information on what, where, when and how an event will take place - allow the fire official to review and approve devices, safeguards, and procedures that may be needed to assure a safe event.

UCLA Office of Environmental Health & Safety

The UCLA Office of Environment, Health, & Safety (EHS) offers resources and support for maintaining safety and healthy, as well as environmental consciousness. EHS is involved in the approval process for registered campus organizations by administering temporary food permits to organizations who want to sell or giveaway food in areas such as Bruin Plaza and Court of Sciences, and public events for more than 200 people.

UCLA Police Department

The UCLA Police Department provides services and resources to students, faculty, staff and visitors such as filing a report, lost and found, and property and evidence unit . Additionally, they provide Live Scan/background checks fingerprinting services for campus affiliates.

UCLA Risk Management

The UCLA Office of Risk Management supports departments with managing risk by identifying potential events and providing tools to manage outcomes. They also provide general waivers for programs and activities held by registered campus organizations. Additionally, the Office of Risk Management supports students by providing insurance for: Registered Campus Organizations, Club Sports, Renters and Tuition Insurance.

Student Risk Education Committee

The Student Risk Education Committee (SREC) is the official campus wide effort to recommend, implement and fund risk management best practices that make it safe for UCLA students to volunteer on campus and off campus. The SREC consists of several sub-committees e.g. Driver Safety Training/Vehicle Orientation (DST/VO), Hypertension, CPR/First Aid, etc., and the PLEDGE Fund. The range of risk mitigating resources funded by the SREC PLEDGE Fund consists of Live Scans, Liability Insurance, Crowd Management, CPR/First Aid, TB Tests, ETC. This funding source is available to Registered Campus Organizations that include community service as a part of their mission statement, as well as USAC and CPO affiliated groups.
